Please read the following information carefully.
Once you have read and understood these rules, you may complete the Event Submission Form.

 

Signing Up

  • If you would like to sign up for a event, please complete the Event Submission Form after making sure you read & fully understand the guidelines provided on this page. Your theme & event name must already be decided. TBA's will not be accepted.

  • Organizers or teams of organizers may only plan ONE event every 2 months. The lead organizer is permitted to serve as an assistant organizer on other events during the 2 month waiting period, providing none of their assistant organizers are also involved with the event that they wish to assist in. If you already have an event pending, you may not schedule another event until the pending event has taken place, is over, and all prizes have been accounted for and leftovers returned to the event oracle.

  • Once you have submitted the form, the Event Oracle Or Event Collaborators will check the calendar & confirm or deny your date selection based on availability. Please allow up to a week to receive a reply.

  • When your application is received and approved, it will be added to the schedule. You will receive an email notifying you of the date & at the appropriate time to start prize planning. If you or your ISP employ spam filtering, please make sure you allow (sometimes called "whitelist") e-mail from vzoners.com domain in order to ensure receipt of event schedule confirmations and conflict notifications.




Prize Selection

Your prize selection must be made up of items which have already been released as prizes or
sold in vendos in DreamScape. You may find the Event Prize Catalog helpful in making your choices. Sticking to the following guidelines will help ensure the speedy approval of your prizes.   If you have any questions regarding anything prize related, including items, code etc please feel free to contact the event collaborators as they are there to help you in anyway they can!


  • The types of prizes you may choose are as follows:
    • 1st Place
    • 2nd Place
    • 3rd Place
    • 4th Place (Optional)
    • 1 Door Prize
    • Body Paint


  • Main Prize Choice Guidelines (1st through 3rd, 4th if applicable):
    • One item may be engravable
    • A lockable container used as an event prize can have a unique key for each individual container only if a normal chest or box type image is used for the container. Containers with non-standard images will receive one key which will fit all containers for that event. Due to technical limitations, not all images will work as containers.


  • Door Prize Choice Guidelines:
    • Each event gets 1 item to use as a door prize. This item must be a small type item, such as a drink, ornament, etc. No rare or large items may be used as a door prize.
    • 3 copies of the door prize will be included in each prize set.


  • Items not allowed as prizes:
    • Items reserved for staff events (dragons, faire prizes, etc)
    • Avatarwares items
    • Scenery items
    • Heads are not normally allowed to be used as actual prizes during events. Sometimes a head can be used as a "vendroid" item. There must be a good reason to use a head for a vendroid item and must be approved by management. If an exception is made and a head is used, the head can not have been used as a prize with in the last 6 months.
    • Traditional fuzzies are not permitted to be used as event prizes. Special fuzzies ARE permitted as long as they are not reserved for previously noted activities.
    • Seats
    • Containers which contain other items (aside from a key)
    • New artwork will not be created for an event.
    • Containers may not be dispensed in banners.
  • Please keep in mind that what has been allowed in the past will not always continue to be allowed in the future. This is never a reflection on the EO or the event, but rather a decision made by management for various reasons.


  • Painting Your Prizes:
    • Please be aware that you must submit an individual color code for each item, tailored to fit that item. Since all items do not paint the same, applying one code to every item usually results in a blotchy, patchy look. Those items will not be approved. If you need assistance from the Event Oracle or Event Collaborators in creating codes, please notify him/her as early as possible in the event planning process so s/he will have ample time to assist you.


  • When submitting your prizes for approval, please be sure to submit the following information. Not doing so will result in delaying the overall approval process.
    • Prize Name (ie "Ancient Sword")
    • Prize Image Name (ie "a.sample.img")
    • Prize Color Code (ie "1 9 223 224 255 266 277 288 29 37 36 35 34 33 32 31")
    • Object Type (ie accessory, knick knack, container, etc)


  • Prize Approval Process:
    • Prize selection is normally reviewed one month prior to the date of the event. You will be notified of any immediate problems regarding your selection at that time.
    • Prototypes of your prizes will be available for your review 2-3 weeks prior to the event. At this time, you will be contacted with a request to examine the prizes and verify that prize names, colors, & class types are correct. After this verification, they will be submitted to management for final approval. You will be informed if any changes are necessary during the final approval process.
    • Prize sets are usually delivered on the Monday prior to the event. If special items are requested, this could delay the delivery. You will be informed if this applies to you at the time you review your prototypes.


    Management reserves the right to refuse any items for any reason, as well as the right to make exceptions for any of these rules.




      Activities

      You may choose 2 activities of any combination to add to your event schedule. For example, you can have a turf hunt & a tag hunt or a tag hunt & a quest or a turf decorating contest & a drop hunt but you cannot have more than 2 extra activities. One day events do not qualify for drop/tag hunts. Event Organizers are responsible for doing their own decorating for turf hunts and quests. Event Oracles will not decorate your activities for you with scenery

       

      • Turf Hunts:
        • Clues can be placed on existing objects already in-world, or they can be placed on objects to be hung the evening before the event.
        • When clues that provide a key to each letter of the alphabet are hung, each clue will utilize the same image and color code.
        • Clues can either be placed on TMAs of an object, or as a URL on the object.
        • Only one turf hunt per event is permitted.


      • Quests/Scavenger Hunts:
        • You can use up to 5 turfs in your event to award prizes, 4 if you're doing a separate turf hunt.
        • Up to 5 banners are permitted outside of your turf for the purpose of providing clues, however they may not be in avatar form.
        • You can have a speaking banner inside a turf to provide clues to the next; however if you wish for it to be in avatar form, it must be the same exact image in each turf. You must specify one body, one head, up to two optional accessories, and color codes for each. The final assembled 'body' will be copied as-is and placed in each turf you desire, but there will be no further customizations to it other than speech and/or items awarded.
        • You are allowed 1 Quest/Scavenger hunt prize.
        • You must submit an explanation of how the quest will work. Remember, prizes aren’t just given away, there needs to be some work involved to earn them.


      • Drops/Tag Hunts
        • If you wish to have a drop or tag hunt, you are permitted a maximum of 200 items per each day of your event. One day events are excluded from this type of activity.
        • You may choose one doorprize level item for your drop hunt prize.
        • You must e-mail the event oracle a list of the people who will be hiding or dropping along with a schedule of hunt times prior to receiving your prizes. The schedule must also be posted on your event website.
        • It is not necessary to record the names of avatars who have tagged you, though it is requested that you advertise a “one prize from per avatar per day” request on your event website.


      EO Duties

      • It is your responsibility to advertise and promote your event. A link to your URL will be provided on the normal Dreamscape calendar and the event flags will be changed to your event the Monday before the weekend. You must have your schedule up 2 weeks prior to your event to allow hosts to sign-up and reserve their time slots.

      • Games may not be added to the event schedule if another member is already slated to host it at the same time on the regular schedule. If a regularly scheduled host does not reserve their event slot by 1 week prior to the event, the event slot for that game opens to the first member who requests the slot after that time. Games with an "on hold" status at the time of scheduling are not guaranteed their time slot and will be made open to the public.

      • It is the Event Organizer's responsibility to verify that games being added to their event schedule do not conflict with games being hosted and locales already scheduled for use on the regular DS Calendar.

      • Hosts may not be excluded from hosting in an event for reasons other than Game schedule conflicts without prior approval from the Event Oracle.

      • Any event wishing to be sponsored must have 60% or more of the games held in an outside locale. Event days without 60% or more outside will not be sponsored or will be removed from sponsorship.

      • It is the responsibility of the organizers to retrieve prize sets from no show hosts. You will also get the brunt of complaints if a host runs a game unfairly or ineffectively.

      • While it is not a requirement for hosting, you should encourage hosts to link their games to the theme of the event or to life in the Dreamscape.

      • Set up a schedule such that you or a member of your event team will be on hand to handle any problems which may occur. If you are a team that is all from one specific time zone, consider finding a suitable responsible person in a different time zone that could be on hand to deal with potential problems in order to make sure ALL game times are covered. If none of the event organizers can be in world during some hours of your event, please notify the event oracle and do some trouble shooting by contacting those who will host during the absence of event organizer(s).

      • Try to make the games for each time slot different in nature. For example, some people love speed games, others can't play them. Some people love word games, others do not have the required command of English to enjoy them. Try to vary the types of games offered during each hour. (Speed: Ghost Racing; Luck: Bingo, Lucky Numbers, Even Bet, Mix and Match; Word games: Scrambles, Acromania, Reveal the Word)

      • Starting times for games should be clearly stated. Double games per hour are not permitted.

      • Prize winners should be displayed on the game page. Even if winners are submitted to the organizer after the event flags have changed, some players & certainly the event oracle will want to see who won the prizes. This will answer any questions that may arise concerning actual number of sets awarded and who is winning multiple games. It's better to be open about results than to leave room for suspicion and/or doubt. Any organizer not announcing winners or not returning unused prize sets will be prohibited from scheduling events in the future.

      • If a host no-shows you may find a replacement host or fill this slot with another type of game. All hosts should be keeping track of points in their games and if the host program crashes and they can't restart, prizes should be awarded based on the last known scores or not at all.

      • Each team of organizers should have a plan for no show hosts that is clearly stated on their URL for the game. Raffles are not allowed. Substitute hosts may be an option. Canceling the game and returning the prizes may be an option. Whatever you decide to do, state it clearly on your URL, and contact the Event Oracle for approval of your plan

      • The design & Creation of your Event Schedule is your responsibility. It is requested that geocities.com & angelfire.com are not used due to the bandwidth limitations they impose. Some suggestions for free hosting sites are:




      Closing The Event

      • Event Organizers are required to post the winners submitted to their event site during the course of the event. Once the event is over, the number of winners appearing will be compared to the number of prize sets dispensed to the Event Organizers.

      • When all prize sets are accounted for and returned, the Event Organizers will receive up to TWO prize sets (limit ONE per Event Organizer). Should your event have more than two organizers, you will have to decide how to split the two sets amongst all of you.

      • EO's should submit the names of any hosts who haven't submitted winners by the next day following the event. Keep in mind tracking and posting winners is required.



      Event Organizer's Checklist

      The following checklist is provided as a concise guideline to assist you in organizing an event. It is not intended as a substitute for reading & understanding the above rules.

      • 1. Come up with a theme or idea.
      • 2. Review the guidelines to make sure you are eligible to host an event.
      • 3. Get some friends together to help out.
      • 4. Check the calendar for an open date that works for you.
      • 5. Review the guidelines & select your prizes and activities.
      • 6. Set up your event site.
      • 7. Fill out the event submission form.
      • 8. When your event has been approved by the event oracle you will be contacted via email.
      • 9. Approve your prototype prizes and make necessary changes.
      • 10. Make sure your schedule is up at least 2 weeks prior to your event date.
      • 11. Keep checking your event site to approve the hosts/games.
      • 12. A few days prior to the event, the event oracle will give you your prize sets to hand out.
      • 13. Make sure you have reviewed all of the event organizer's responsibilities.
      • 14. Hand out prizes to your hosts.
      • 15. Post winners during your event.
      • 16. Close out your event.
